Fundemio Privacy Policy

This policy explains what personal information Fundemio collects at fundemio.com, why, who receives it and what rights you have. Fundemio does not sell your information and never sends your profile or documents to a funding provider.
1. Who we are
Fundemio is a product of Samlook Holdings BV, a Belgian private limited company. Samlook Holdings BV is the controller of the personal information described in this policy.

In this policy, "Fundemio", "we" and "us" mean Samlook Holdings BV. "You" means anyone who visits fundemio.com or creates an account.
Fundemio helps founders find published funding programmes and prepare to apply. Fundemio is not a lender and does not decide funding applications.
2. Information we collect
You can browse the funding catalogue without an account and without giving us any personal information. The information below is collected when you create an account and use the workspace.

We do not ask for, and you should not enter, sensitive personal information such as health data, identity document numbers or bank account details. Fundemio does not currently accept document uploads or payments.
3. How we use your information
We use your information only for the purposes below. Each has a legal basis under the EU General Data Protection Regulation (GDPR).

The requirements checklist compares the facts in your profile with a programme's listed rules. It is not a decision about you. Fundemio makes no automated decision that has a legal or similarly significant effect on you. Only the funding provider decides an application.
We do not use your information for advertising, and we do not sell it.
4. AI features
Fundemio uses AI services in two places. Each one runs only when you start it.
- The assistant. When you ask a question, the text of your question is sent to an AI service together with published programme information from our catalogue. Your business profile, plans and budgets are not sent.
- Draft translation. If you ask Fundemio to translate one of your plans or budgets, the text of that draft is sent to an AI service. We ask for your consent each time before this happens.
We ask the AI service not to store your question after answering it. Do not put sensitive personal, financial or document details in an assistant question.
Fundemio also uses AI services to check public funding programme pages. That work uses public information only and involves none of your information.
5. Who we share information with
We share your information only with the service providers that run Fundemio for us. They act on our instructions and may not use your information for their own purposes.

We never send your profile, plans, budgets or saved programmes to a funding provider. When you follow a link to a provider's website, that provider's own privacy policy applies.
We may disclose information if the law requires it, or to establish or defend a legal claim. If Fundemio is transferred to another company, your information may pass to that company under the terms of this policy, and we will tell you beforehand.
Transfers outside the European Economic Area
Some of our providers are based in the United States, so your information is processed outside the European Economic Area. For these transfers we rely on the European Commission's adequacy decision for the EU-US Data Privacy Framework where the provider is certified, and otherwise on the European Commission's standard contractual clauses. You can ask us for a copy of the safeguards using the contact details in section 10.
6. How long we keep information
We keep your information for as long as your account is open, and delete it when you ask us to.

To delete your account and everything in it, write to the privacy contact in section 10. We act on deletion requests within one month.
7. Cookies and browser storage
Fundemio uses only the cookies and storage needed to run the service. We use no advertising cookies and no analytics or tracking cookies.

Because these are strictly necessary for the service you request, we do not ask for cookie consent. If we add analytics later, we will update this policy and ask for your consent first where the law requires it.
8. Security
We protect your information with measures suited to the risk.
- All traffic between your browser and Fundemio is encrypted.
- Your workspace is tied to your account on our servers. Another user cannot open your profile, plans, budgets or saved history.
- Changes to your account can only be made from fundemio.com while you are signed in.
- Staff access to administration tools is restricted to authorised people and checked on every request.
- Our error logs are designed to leave out the content of your profile and documents.
No online service can guarantee complete security. If a breach is likely to put your rights at risk, we will notify the supervisory authority and tell you, as the law requires.
9. Your rights
You have the following rights over your personal information. They are free to use.
- Access. Ask for a copy of the information we hold about you.
- Correction. Correct information that is wrong or incomplete. You can edit your profile, plans and budgets yourself at any time.
- Deletion. Ask us to delete your account and your information.
- Restriction. Ask us to stop using your information while a question about it is resolved.
- Portability. Receive your information in a commonly used, machine-readable format.
- Objection. Object to processing that is based on our legitimate interests.
- Withdrawal of consent. Withdraw consent for saved assistant history or draft translation at any time. This does not affect what was done before you withdrew it.
To use a right, write to the privacy contact in section 10. We may ask you to confirm your identity. We reply within one month, and tell you if we need longer.
Complaints
If you are unhappy with how we handle your information, please contact us first. You also have the right to complain to a supervisory authority. In Belgium this is the Gegevensbeschermingsautoriteit / Autorité de protection des données, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be, +32 2 274 48 00. If you live elsewhere in the European Economic Area, you can complain to the authority in your own country.
Users in Nigeria
If you are in Nigeria, you also have rights under the Nigeria Data Protection Act 2023, including the rights listed above. You can complain to the Nigeria Data Protection Commission.

11. Children
Fundemio is a business tool for adults. It is not intended for anyone under 18, and we do not knowingly collect information from children. If you believe a child has created an account, contact us and we will delete it.
12. Changes to this policy
We will update this policy when the service or the law changes. The date at the top shows the latest version. If a change significantly affects how we use your information, we will tell you by email or by a notice on the site before it takes effect.
This policy is written in English. If a translation differs from the English text, the English text applies.
